Conducting an AuditionRoom Test

We strongly recommend that you conduct a test run of AuditionRoom 1-2 weeks before your first audition day. If you haven't set up your AuditionRoom Test yet, please read our article on Setting up an AuditionRoom Test before proceeding with your test run.

**To effectively run an AuditionRoom test, you should have at least one person play the role of the test applicant. They will log into Acceptd using the Username and Password that was generated when the Test Applicant was created. If you have one person playing multiple applicants, they will need to log in and log out between test applicants. Here is a guide on joining AuditionRoom as an applicant. 

 

TESTING A LOBBY MEETING:

  1. Have all Test participants log into Acceptd.
  2. Navigate to the Schedule tab and select AuditionRoom from the dropdown menu.
  3. Click Join Lobby
  4. Once the Lobby Host starts the Lobby Meeting, everyone else that is part of the lobby or room can now join the lobby meeting.
    • This includes the test applicant accounts. 

Notice that your Lobby Host has many Zoom features enabled if needed. It is best practice to set one or more Co-Hosts in Zoom in case your main host drops off for any reason.

Also notice that the chat features are now accessible by your applicants (via the help request) and by all staff:

    • Lobby announcements
    • Help requests from applicants which go to ambassadors and moderators
    • Direct chat between staff and with applicants

  

TESTING A ROOM:

  1. Have all participants who are part of the room (Lead Adjudicator and Adjudicators) log into Acceptd.
  2. Navigate to the Schedule tab and select AuditionRoom from the dropdown menu.
  3. Click Join Room.
    • After joining, everyone should see the room schedule.
  4. Have the Lead Adjudicator start the room video by clicking Start Meeting.
  5. Have all Adjudicators join the room video by clicking Join Video.
  6. Have the Lead Adjudicator start auditions / open the waiting room.
  7. Have the person(s) playing the role of test applicant(s) log into the test applicant account and join the Lobby. 
  8. From this point on, auditions proceed. 

Some things to point out to staff:

    • On the left, start a chat with any auditionee, adjudicator, moderator, or ambassador.
    • On the bottom right, start a private chat with all Adjudicators
    • Having the clipboard schedule and the Zoom meeting up on split-screens or on two different screens is a nice way to keep it organized.
    • The Lead Adjudicator or a Moderator can move applicants around in the schedule (click the gear icon next to the applicant in the clipboard).
    • Adjudicators, Leads, and Moderators can access an auditionee's application within the clipboard.

Conclude the test whenever you’re comfortable.

When creating a room, you will be prompted to check or uncheck the box next to Record Meeting. Uncheck this box ONLY if you do not wish to record the auditions happening in that Room's zoom call. Those recordings become available a few hours after auditions have completed and can be accessed from the main AuditionRoom screen.
