Setting Up an AuditionRoom Test

We strongly recommend that you conduct a test run of AuditionRoom 1-2 weeks before your first audition day. AuditionRoom is easy to use, but being set up and familiar with it in advance will help your auditions go smoothly for your staff and applicants.

1. Schedule a Test Date and Time

  • Find 30 minutes to 1 hour when your team can assemble virtually to participate in an AuditionRoom Test.
  • Ask all participants to make sure that they have the latest Zoom client installed prior to the Test.

2. Set up a Test Schedule

  • Navigate to the Schedule tab and select Schedule from the dropdown menu
  • In the left margin under the monthly calendar, click + Create Schedule
  • Name the schedule as a "Test" and assign it a color
  • Click Create Schedule

3. Set up a Test Session

  • Follow this guide to Create a Session
  • Make sure the Test session is categorized under your newly created Test schedule

4. Create Test Applicants and Submit Test Applications

  • Choose which of your programs you will be using for your test run
  • If that program has an associated cost (where applicants are charged to apply), reach out to the Account Relations team (accountrelations@getacceptd.com) and request coupon codes to bypass the cost for your test applicants.
  • When you have received the coupon code(s), navigate to the Programs tab and select Test Applicants from the dropdown menu
  • Click Create Test Applicant button
  • Copy and paste the username and password that is generated. You will need to pass this login information on to those who will be playing the role of your test applicants during your Test
  • Click the three dots next to the Test Applicant in the list and select Manage Applications
  • Select checkbox for the program you will be using for the test, and click the green Create Applications button
  • Exit out and click the applicant's three dots again. This time, select Login As
  • Click View > on the test program's window in the Application Tracker
  • Select Continue Application
  • Fill out and submit the application with the coupon code provided by the Account Relations team
  • Log back into your own Acceptd profile
  • Repeat this process until you have 3 to 5 test applications submitted

5. Add Test Applicants to Test Session

  • Navigate to the Schedule tab and select Schedule from the dropdown menu
  • Find and select your test schedule in the left margin
  • Select the session created for your AuditionRoom test
  • Click one of the "Open" timeslots and select a Test Applicant from the dropdown
  • Select Update Timeslot
  • Repeat until all test applicants have been scheduled
