What are template fields?

Template Variable Fields are an easy & efficient way to personalize your messages to your applicants, especially when bulk messaging.

Template Variable Fields will update for each applicant who receives the message. Using these { } variables allows you to send one message to multiple applicants, but each message is personalized to the recipient.

Variables are found using the Insert Template Field dropdown, located above your message window when reaching out to applicants or building a new template. Below is the full list of variables to communicate with applicants in different situations:

Important: Do not remove any spaces from the { } field once inserted.

 

Standard Template Variables:

From an individual submission message or the Messaging Inbox "Templates" page:

Submission First Name: Uses the first name on the application

Submission Last Name: Uses the last name on the application

Recipient First Name: Uses the first name on the account, which may be the applicant or a parent/guardian/teacher.

Recipient Last Name: Uses the last name on the account, which may be the applicant or a parent/guardian/teacher.

Organization Name: The name of your organization as it appears in the Acceptd directory.

Organization Acceptd Page: URL for your Acceptd Landing Page.

Application Continue Link: Direct URL to the applicant's in-progress application.

Program Name: Title of the applicant's program.

 

If your organization uses Admin questions, you can also turn these into template variables when messaging your applicants!

 

Scheduling Template Variables

Schedule template variables are only accessible when building a new template from the "Schedule" tab and "Notifications" dropdown. 

These variables do not function when sending messages from your Conversations Inbox or Submissions Table. They only function within automatic scheduling notifications or when messaging applicants from a Schedule Group or Session.

 

Scheduling Template Variables: 

Schedule Name: Title of the schedule group where the notification is assigned or where an applicant holds a reserved timeslot.

Session Name: Title of the session where the notification is assigned or where an applicant holds a reserved timeslot.

Session Start Time: When a session will begin.

Slot Date/Time: Date and time of an applicant's individual timeslot.

Session Scheduling Open Date: The "Open Date" when self-scheduling applicants can start accessing a specific session.

Session Scheduling End Date: The "Close Date" when self-scheduling applicants can no longer access a specific session.

Session Description: Pulls the "description" field of a session where the notification is assigned or where an applicant holds a reserved timeslot.

Slots Agenda List: An applicant's full agenda of timeslots with your organization.
